As soon as your files have been catalogued, they can be viewed and used by prior arrangement. The files can be viewed in the archive or at your workplace. To do this, you must complete the form for file retrieval. We will then organise the further procedure.
Only the office making the transfer is authorised to work with its own files. All information on the regulations can be found in Amtlichen Bekanntmachung 2012/01
Your duties:
- Determination and consideration of the retention periods of your documents, see download retention periods
- Contact the university archive to arrange an appointment for a preliminary discussion (46-2255)
In a preliminary discussion, we then check the archival value of your files together on site. If this is the case, the next steps are as follows:
- Compiling the files to be handed in (books are not archive material)
- Sorting out documents that have been filed more than once
- De-ironing files (removing paper clips and staples)
- Filling out the delivery list (download)
You can then arrange the transport with Department 3 and us and your files will be delivered to the university archive.
After checking the delivery list, you will receive immediate confirmation that your files have been accepted.
